Privacy
What Energy Pilot does with your information, in plain words.
Last changed 13 September 2026.
What we hold
- What you send us through a form
- Whatever you type into a contact or enquiry form, which is usually your name, your email address and your message. It is stored on this site and emailed to whoever looks after enquiries.
- The fact that you visited
- Our server keeps a short log of requests: the page, the time, your browser and your network address. It is how we find out that something is broken. Nobody reads it otherwise.
- Your children, if you add them
- A child's name and date of birth, and which adults may act for them. A child has a profile rather than a login. The date of birth is there because age decides which grades they may play in, and for nothing else.
- Which squads you are in, and when you can play
- Your answers to "are you playing on Tuesday" and the squads you belong to. Other people in your squad can see both, which is the point of them.
- Short links you follow
- When one of our short links is used, we count it. We record the time and the browser, not who you are.
- Your system, if you are a client
- Your address, your contact details, what is installed on your roof and in your garage, and notes from conversations with you.
- Phone calls with us
- Calls to and from our business numbers are recorded. The recording is turned into a written transcript, and a short summary is written from it when one of our team asks for one. All three are kept on your record with the date, the length and the number, so whoever deals with you next knows what was said. If you would rather a call was not recorded, say so at the start and we will stop.
- Our app, if you work with us
- The app is for our staff and the companies we work with, not for customers. It holds your name, email address, the company you belong to and what you do in it. It uses the microphone only during a call you make or answer, or a voice message you choose to record; the camera and your photos only for a picture you choose to take or attach; and, if you allow notifications, a token for your device. You see only your own company's customers.
Children
A child added by a parent has a profile, not a login, and cannot sign in. Only the adults named as their guardians can see or change their details or answer for them. Ask us and we will delete a child's record.
Who else sees anything
We do not sell anything about you and we do not hand it to anybody for their own use. These are the services this site needs in order to work:
- Google reCAPTCHA
- Checks that a form is being filled in by a person. Google sees the visit to any page carrying a form.
- Our phone provider
- Crazytel, an Australian telephone company, carries our calls and texts and holds each call recording until we collect it.
- Transcription and summaries
- Deepgram turns a call recording into text, and Anthropic (Claude) writes the summary when one is asked for. Both are in the United States and are sent the recording or its transcript to do that work.
- Apple and Google, for the app's notifications
- Apple Push Notification service and Google Firebase Cloud Messaging carry a notification to the app on your device. They see that one was sent, not what it says beyond its short preview.
- Our email provider
- Sends anything this site emails you, and knows the address it went to.
How long we keep it
For as long as you are involved with us, and for a while afterwards because people come back. Ask us to delete your record and we will, except where we have to keep something: a payment has to be accounted for, and a published result stays published because it is part of the record of a season.
What you can ask for
- A copy of everything we hold about you.
- Anything wrong corrected. Most of it you can correct yourself.
- Your record deleted, subject to the paragraph above.
- To be left alone: we will stop emailing you, and every email we send has an unsubscribe link.
Keeping it safe
The site is served over an encrypted connection. Passwords are stored scrambled and cannot be read back, by us or by anybody who took a copy of the database. We keep as little as we can, which is the only protection that always works.
Asking us about any of this
Email info@energypilot.com.au. We would rather sort something out with you directly than have you go elsewhere first. If we cannot, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
